The agency operating system

One app for the whole studio.Board to invoice, with AI in the room.

Kinetix is the operating system for a creative agency: projects, docs, client portal, proposals with eSign, time and money, reports — plus Kin, a RAG-grounded AI that answers from your workspace and scores project health overnight. Hosted for you and running today, from $25 a month.

Everything that used to live in six tabs

One login for the whole studio, hosted and kept online for you. Authorization is in the data layer. Clients never see internal work. AI never searches past their permission.

Projects that look like the work

Kanban with per-project columns, list, Gantt timeline, and calendar. Subtasks, dependencies, labels, priorities, recurring tasks, and fractional drag ordering so the board stays the source of truth.

  • Private projects for pitches
  • Templates for retainers
  • My Work across every assignment

Docs that live next to the board

A Tiptap editor with a slash menu — headings, lists, to-dos, tables, callouts, images, mentions — plus a doc tree, version history, restore, and /ai commands on every page.

  • /ai continue, improve, summarize
  • Action items from notes
  • History you can actually restore

A portal clients can actually use

Invite-only. Clients see only client-visible rows of their own projects: tasks, docs, reports, invoices, and approvals. Internal comments never leak. No public signup.

  • Per-item visibility
  • Approvals without Slack
  • Reports and invoices in one place

Proposals that freeze, then sign

Structured pricing, send-freeze with SHA-256 hashing, a public signing page (typed or drawn), event trail, signed PDF with certificate, then one-click convert to a live project.

  • Hash re-verified at sign
  • IP + consent recorded
  • Share links are noindex

Time, money, and the invoice

A running timer, rate snapshots on every entry, expenses, invoices generated from unbilled time, partial payments, budgets, and profitability charts. Internal cost rates never reach the portal.

  • Timer pill across the app
  • Budget burn per project
  • Unbilled hours → invoice

Reports from real metrics

Client-facing progress reports with computed stats and charts. AI can draft the narrative from the numbers. Publish to the portal, a tokenized share link, or a print-ready PDF.

  • Velocity, hours, approvals
  • Portal or public share
  • PDF export built in

Four views, one project

The board is not the only way to see the work

Drag cards between columns you define per project. Switch to list for bulk edits, timeline for dependencies and dates, calendar for the week. Recurring tasks, labels, and private projects sit in the same model — not a plugin.

Visibility is a field, not a hope

Internal by default. Client when you say so.

Comments, docs, tasks, and files carry visibility. The portal is the same product with a tighter WHERE clause. Approvals notify the right people without copying a folder of screenshots into email.

AI that cannot invent a URL

Answers cite your docs. Generation uses your numbers.

Chat retrieves with reciprocal rank fusion. Proposal drafts pull client history. Report narratives are written from computed metrics. Task extraction reads the notes you paste — not a hallucinated backlog.

What's blocking Meridian this week?
Two client-visible tasks are overdue on Homepage comps. Budget is 84% burned. I wouldn't create new work until those two are closed.

How a job actually moves

From signed proposal to morning digest

  1. 01

    Win the work

Draft a proposal from client history, lock the snapshot, send a signing link. When they sign, convert it to a project with statuses, budget, and members already in place.

  2. 02

    Run the studio

Move work across board, list, timeline, and calendar. Keep the brief in a doc. Comment internally. Flip visibility when a deliverable is ready for the client.

  3. 03

    Show the client

They log into the portal — not a PDF dump. They approve, comment on what they’re allowed to see, read the report, and pay the invoice.

  4. 04

    Let Kin watch

Overnight risk scans score health. Morning digests land. Unassigned work is flagged — or assigned, if you set Act. Every action is in the audit log.

Kin, your AI

Grounded in your workspace — never the open web

Hybrid retrieval merges Postgres full-text and pgvector, then RRF-merges the ranks. Chunks carry denormalized project, client, and visibility so a portal user cannot retrieve internal copy. Without an OpenRouter key the app stays up: FTS search and honest demo output.

Kin overnight

Runs while the studio is closed

  • Nightly risk scan scores every active project 0–100
  • Morning digest: overdue, due today, this week
  • Triage unassigned work — Act mode can assign it
  • Monday standup recap per project
  • Observe · Suggest · Act — you pick the leash

Generation

Draft proposals from client history. Write report narratives from metrics. Extract tasks from meeting notes. Run /ai inside any doc.

What it replaces on a typical studio desk

Not a feature list against the entire internet — the tools agencies actually juggle, and the Kinetix equivalent that stays in one login.

Trust

Designed so a client portal cannot become a leak

Auth is not middleware

Cookie sessions, argon2 hashes, tokens stored only as SHA-256. Every query takes a Viewer. Portal users cannot retrieve internal RAG chunks.

Share pages stay public-safe

Tokenized, cookie-free, noindex, rate-limited. They render from per-link DTOs so internal fields cannot leak onto a signing page.

Kin is accountable

Observe, Suggest, or Act. Findings, actions, and token usage land on the Kin overnight page. Mutations write to activities with actorType = agent.

Hosted by us, or by you

On our cloud every workspace is a separate tenant — no shared rows, no cross-workspace reads. Prefer it in-house? The same build ships as a self-hosted licence.

Your studio, running by this afternoon

We create your workspace and hand the owner account to you — then everyone else joins by invite, teammates to the studio and clients to the portal. Try it on one real project first.
